Receptionist (Maternity Cover) | London

What is the purpose of this role?

As Receptionist, you will be the first point of contact for all external clients and guests and therefore set the tone for the office and represent the Bruceshaw brand.  Along with being professional, friendly and welcoming, you will undertake numerous other responsibilities that play an important role in the day to day operations of the Bruceshaw London office.


Key Responsibilities

  • Handling all telephone and email enquiries, directing them appropriately
  • Welcoming clients and visitors to Bruceshaw, making sure they are signed in/out of the office to comply with Health & Safety
  • Organising refreshments for visitors upon arrival and during meetings
  • Proactively managing the boardrooms, ensuring they are set up before client meetings and their cleanliness is maintained throughout the day
  • Ordering lunch for external meetings and training sessions as and when required
  • Booking boardrooms for meetings, prioritising where necessary
  • Maintaining the appearance of the reception, breakout, meeting rooms and client kitchen areas making sure they are always clean and tidy and well stocked
  • Maintaining stocks in the kitchen, providing a shopping list for the Office Manager when items are running low
  • Making a daily record of employees that are out of the office and reporting it to the Partner Group and Management team, logging in the Reception diary for Health and Safety
  • Managing the business Oyster cards and ClickShare USBs, ensuring they are all returned to reception by employees and visitors
  • Ordering couriers and professional printing services as and when requested
  • Administration duties such as typing, letter typing, printing and scanning
  • Providing support to the wider Central Services team when needed
  • Managing the client contact database, loading client details onto BSpace

Previous experience and credentials

  • Reception experience in a client facing environment
  • Good working knowledge of Microsoft Office and Adobe
  • Typing experience
